TIL sorting receipts into one binder by job number got me paid 3 weeks faster on a Denver remodel
I used to stuff every receipt from a job into my truck console until the client asked for a final bill, then I would spend two nights digging through it. On a kitchen remodel off Federal Blvd in Denver back in March, the homeowner wanted a line by line breakdown before she cut the last check. I grabbed a cheap 3 ring binder and a pack of those clear sleeves, one sleeve per job number, and just started dropping receipts in as I got them. It took maybe 2 minutes at the end of each day, and when I handed her the binder she wrote the final check the same afternoon, 3 weeks quicker than my usual close out. My bookkeeper says it is the first month my numbers actually matched the bank statement on the first try. Now I keep one binder per active job and I am never going back. Any of you run something like this, and do you keep the receipts or just scan and pitch the paper?
Kept the paper for years but the problem was always the same, the paper pile grows and the binder stops being the answer once you have 6 jobs open at once. What made the difference for you, the two minutes a day or the fact that the client could flip through and see it herself? I ask because I have tried the binder thing twice and it fell apart both times, not from the sorting but from forgetting to do it on the days I was slammed. Curious what happened on job two, when the first binder was still sitting on your dash and a new one started filling up. If the system only works when you are not busy, that is a real problem in this trade.
